Terms & Conditions
The shared agreement that keeps every creative, concierge, and business engagement clean, clear, and professionally aligned.
- 01
Deposits
A non-refundable deposit — typically fifty percent (50%) of the total project fee — is required to reserve a place in our production calendar. Work begins only after the deposit is received and the intake form is completed.
- 02
Refund Policy
Deposits are non-refundable once creative work has begun. If the project is cancelled prior to the first deliverable, credits may be issued at our discretion toward future services. Completed and delivered work is non-refundable. See our full Refund Policy for details.
- 03
Revision Limits
Each design engagement includes a set number of revision rounds as specified in your quote (typically two). Additional rounds are billed at our standard hourly rate. Revisions must be consolidated into a single feedback document per round.
- 04
Rush Fees
Projects requiring delivery faster than our standard turnaround are subject to a rush fee, typically twenty-five to fifty percent (25–50%) of the project fee, quoted in advance and confirmed in writing.
- 05
Project Abandonment
If a client becomes unresponsive or fails to provide required content, feedback, or approvals for a continuous period of thirty (30) days, the project may be marked as abandoned. Reactivation is subject to a fee and rescheduling based on current availability.
- 06
Client Response Delays
Timelines are dependent on timely client responses. Delays exceeding five (5) business days may extend the project timeline and, if repeated, may result in re-quoting or rescheduling.
- 07
Printing Disclaimers
The Plug Collective designs print materials in-house and coordinates production with trusted third-party printers. Color variation, paper stock behavior, and finishing quality are inherent to physical production and are not grounds for refund. Client approval of proofs is required before printing.
- 08
Website Hosting Responsibilities
Unless a hosting or maintenance plan is contracted, the client is responsible for hosting, backups, security updates, and platform costs after site delivery. We can recommend and configure preferred hosting providers upon request.
- 09
Domain Ownership
Domain names purchased on the client's behalf remain the client's property and are transferred to a client-owned registrar account upon final payment. The Plug Collective will not retain ownership of client domains.
- 10
Maintenance Plans
Ongoing website updates, content edits, and technical support are available through monthly maintenance plans. Work performed outside a plan is billed hourly with prior approval.
- 11
Cancellation Policy
Clients may cancel a project at any time with written notice. Fees for work completed up to the cancellation date remain due. Deposits are non-refundable but may be credited toward a future engagement within twelve (12) months at our discretion.
- 12
Concierge Service Policy
Concierge and lifestyle services are billed hourly with a minimum booking window. Third-party costs (event tickets, gifts, reservations, purchases) are billed separately with receipts. We reserve the right to decline any request that is unsafe, unlawful, or outside our capability.
- 13
Ride Service Limitations
Ride service is offered as private, on-call personal transportation within the Oklahoma City Metro area and is not a licensed rideshare or taxi service. Passenger counts, vehicle load, and requested routes are subject to safety and legal limits. A two-hour minimum applies.
- 14
Mileage Reimbursement
Errand and ride services outside the immediate service area are billed at the current IRS standard mileage rate. Odometer readings are logged at the start and end of each engagement and provided upon request.
- 15
Parking & Toll Fees
Parking fees, tolls, and any other travel-related expenses incurred while performing a client request are billed at cost, in addition to the hourly rate.
- 16
Illegal Request Policy
We do not accept, coordinate, or execute any request that violates local, state, or federal law, or that infringes on the rights of any person or third party. Requests found to be unlawful will be immediately declined without refund.
- 17
File Storage Period
Final project files are archived for ninety (90) days following project completion. After this period, files may be permanently deleted. Clients are encouraged to download and back up delivered files upon receipt.
- 18
Content Ownership
Clients certify that they own or have permission to use all content submitted for use in their project, including images, copy, fonts, and trademarks. The Plug Collective is not liable for third-party claims arising from client-supplied content.
- 19
Intellectual Property
All design work, source files, and creative concepts remain the property of The Plug Collective until final payment is received in full, at which point ownership of the delivered assets transfers to the client. The Plug Collective retains the right to display completed work in its portfolio.
- 20
Project Acceptance
The Plug Collective reserves the right to refuse or terminate any project that violates applicable laws, intellectual property rights, or platform policies.
